If you are running out of space, or if your mailbox/archive is full, you can follow these steps to clear up some space:
Proactively managing your mailbox storage can help prevent issues before they arise, ensuring smooth performance and uninterrupted access to your emails.
In Outlook, right-click on the Deleted Items folder and select Empty Folder.
Click Yes on the prompt that appears.
Alternatively, you can use the Mailbox Cleanup tool to identify and remove large items. Navigate to File → Info, select Mailbox Cleanup, and choose options like Find items larger than... or View mailbox size to manage storage effectively.
If this didn't work, you can go into other folders (Inbox, sent items) and delete older, unwanted emails from those which should free up a lot of space. If it is the Archive mailbox that is full, you can click on the Online Archive on the left and follow the steps above to clear out space in those. Additionally, you can use the Mailbox Cleanup tool to locate large emails or attachments and decide whether to delete them or move them to an archive folder. This systematic approach can save time and ensure efficient storage management.
Using Mailbox Cleanup to Identify and Remove Large Items
Outlook’s Mailbox Cleanup tool is a powerful feature for locating and managing large emails or attachments:
Open Outlook and navigate to File → Info.
Select Mailbox Cleanup.
Choose one of the following options:
Find items larger than...: Specify a size (e.g., 25 MB) to locate large emails or attachments.
View mailbox size: Identify folders or items consuming the most space.
Review the identified items and decide whether to delete them or move them to an archive folder.
