Release Summary
Release 16.4.2.0 contains 21 work items: 9 new functionality items, 2 CDAM fixes and 10 bug fixes. The new functionality centres on the CDAM Department/Category Batch Update tool, plus one Civil Legal Aid billing change. The bug fixes cover InfoTrack polling, the Email agent, document bundling, PDF conversion and PDF Form Importer, and other areas.
The CDAM Department/Category Batch Update tool (previously the Batch Update) has been renamed to make its purpose clearer. Supervisors can now search and filter the matter list, show only closed matters with a Closed Matter Date column, sort by department and category, and view a Skipped Matters report. Saving a batch update recalculates the CDAM destroy date automatically, and bulk category assignments are recorded in the audit trail. The CDAM group also includes two fixes: destroyed matters are no longer listed in the batch update, and the matters-to-be-destroyed Excel report no longer fails on long tab names.
In Civil Legal Aid, Legal Help classes now include a VAT flag so each bill's VAT status can be set individually, rather than being taken from a branch-level setting.
OneOffice â Bugs
InfoTrack Polling Not Downloading Newer Orders
Summary: Some customers using InfoTrack integration had newer orders never downloaded. Only the first 1,000 older orders were ever retrieved, and the process looped on them.
Email Agent Telemetry Service Parameter Error
Summary: The Email agent showed a "Parameter name: _telemetryService" error, and an incoming email with a matter tracker in the subject line was not pulled to the matter.
SEA and SEB Commands in Templates Not Setting "Last Done" and "Done By"
Summary: When the Email agent is active (COMP_UseEmailAgent=1), sending an email from a template containing an SEA or SEB command left the "Last Done" and "Done By" fields unpopulated.
Echit Receipt Type Field Not Working
Summary: On the CCR eChit (EC3), the Receipt Type field did not accept typed text or list positions and was left blank.
Logs Folder Appearing on Client Desktops
Summary: Since version 16.2.1.1, a logs file was appearing on users' desktops. Logs should only be written to ClientTempDirectory.
Drag and Drop on Closed Matters Returns "Access to path is denied"
Summary: On closed matters, dragging the same item to another matter a third time shows an "Access to path is denied" error.
PDF Form Importer Not Moving Forms With Duplicate File Names
Summary: When a PDF had the same file name as a file already in the Imported or Deleted subfolder, the form was not moved and kept appearing as needing import.
Bundling Same-Named Source Files Reuses the First Item's PDF
Summary: When a bundle contained items whose source files shared a file name, later items were merged from the first item's converted PDF. The bundle therefore contained the wrong document content, with no error or report entry.
Convert to PDF Uses the Word Document Title
Summary: The share-to-email Convert to PDF option named the PDF using the Word document's Title property, which is often unhelpful. It should use the file name shown in DPS history.
InfoTrack Street Field Receives a Comma
Summary: In the InfoTrack registration form, a comma was added to the Street field when the address was left blank.
OneOffice - New Functionality
CDAM Department/Category Batch Update
Tool Renamed to CDAM Department/Category Batch Update
The Batch Update tool is renamed to "CDAM Department/Category Batch Update" so its purpose is clearer. The tool is used only for CDAM clients.
Search and Filter Matters
Supervisors can search and filter the matter list in the Batch Update tool, so specific matters can be found without scrolling the full list.
Show Only Closed Matters Filter and Closed Matter Date Column
A filter shows only closed matters, and a Closed Matter Date column shows the date for each matter. This helps when managing CDAM retention settings.
Sortable Department and Category Columns
The Department and Category columns can be sorted, so matters can be grouped by existing assignment and reassigned more easily.
Automatic CDAM Destroy Date Recalculation on Save
Saving a department and category assignment in the Batch Update tool recalculates the CDAM destroy date automatically. Supervisors no longer need to trigger the recalculation separately.
Three-Dot Menu: All Matters or Missing Department/Category
The three-dot menu next to the application drop-down now has a visible radio button choosing between "All matters" and "Matters with a missing department/category". Previously this was a tick box ("Show All Matters"), off by default, that was not obvious to users.
CDAM Skipped Matters Report
A new report lists matters the Email Agent skipped because one of the Short Term Storage, Long Term Storage or Destroy After periods is 0 days. Supervisors can use it to find and correct misconfigured matters.
Audit Trail for Bulk Category Assignments
Bulk category assignments to closed matters are recorded in the audit trail, giving a record of when and by whom matter categories that affect CDAM processing were changed.
Destroyed Matters No Longer Listed
Matters that were destroyed by an Email Agent run are no longer listed in the batch update, so their department and category cannot be changed after destruction.
Excel Report Tab Name Length
The matters-to-be-destroyed Excel report no longer fails when a category name is long. Department and category names are limited to 30 characters, and the report adds "Matters" to the tab name, which exceeded Excel's limit.
Civil Legal Aid
Civil Legal Aid Billing: VAT Flag at Legal Help Class Level
Civil Legal Aid Legal Help classes now have a VAT flag (Y for VAT, N for non-VAT) that can be set per class. The flag is set to Y by default and can be changed, so the client's true VAT status carries through to the bill and the CMRF submission for Legal Help.
Additional Information
PLEASE NOTE: this release does not include a database change. In line with our release numbering convention below, the third digit of the version number has increased (16.4.0.0 to 16.4.1.0) to reflect that this is a planned release; the second digit, which reflects database changes, remains unchanged. No additional database steps are required to install this release.
RELEASE NUMBERING:
A Note on Our Release Numbering
You may notice a change in how our release numbers are formatted going forward. Previously you may have seen releases numbered in the format 16.3.3.1 â from this release onwards you will see numbers such as 16.3.4.0, 16.3.5.0, and so on.
This reflects a change in how we are applying our versioning. Each number in the version has a specific meaning:
The second number increments when a release includes a database change. These releases may require additional steps during installation and your system administrator should pay particular attention to the release notes when this number changes.
The third number increments with each planned release. You will see this increase regularly as we deliver updates throughout the year.
The fourth number (the patch number) will now only ever be used for emergency fixes that need to be shipped immediately outside of our normal release schedule.
This means the version number you see will more accurately reflect what a release contains and where it sits in our release schedule. Nothing changes about how you receive or install updates â this is purely a change in how we label them.
How this version will be released
This update 16.4.2.0 should be downloaded by your trained DPS Supervisor\Developer who can apply it to your system. The update will be made available on our Customer Portal. Or download it from here.
PLEASE NOTE: If you are a hosted client this will automatically be applied to your system by one of our technicians, if you are a non-hosted client and have an SLA, we will be in touch to arrange an update at a convenient time.
