New suppliers can be added into DPS FD by following the steps below:
Enter DPS One Office for FD.
Click on the Purchase Ledger Tab and click Suppliers.
Click on New.
On the Details Tab, complete the fields as below:
Account Name - enter the name of the supplier.
Reference - enter an alphanumeric reference here. If this field is left blank, when the Supplier is saved, the system will create a unique reference.
Category - Select the Category of the supplier from the drop down.
Vat Reg No - Enter if it is available.
Supplier Acc Ref - is the reference the Supplier uses. If this information is not available or there is no supplier reference, this can be left blank.
Default VAT code - This is the VAT Code that will default every time an invoice from this supplier is entered in the system.
The Nominal drop down will list all the Profit and Loss Expense Nominals, select one from the list. Every time a (FIRM) invoice is posted, this will be the default nominal, but can be changed at the time of posting. The Nominal can also be left blank, this way it will need to be entered every time an invoice from this supplier is posted.
If your system is setup for more than one currency, select the correct currency for the supplier. If not leave it as GB.
Enter the Payee in the Payee field, this is what will be displayed when posting a payment and also will appear if you print cheques via FD.
Any notes in the Notes field are for internal use only and will not be displayed on any payments out.
On the right-hand side select a Transaction Type. This will determine which invoices can be posted to this supplier.
Select the Address Tab and enter the address and contact details for the Supplier.
Select the Balances Tab. This is where the current and previous yearโs balances for the Supplier can be viewed. Also, a credit limit can be set here as well as the payment terms.
Select the Payment Info Tab. Here the Suppliers bank details can be inputted and stored. If this information is not available these fields can be left blank. There is also a tick box for BACS Payment. With this ticked you are able to utilise the BACS upload to the bank via Payment Processing.
Once the details have been entered, click Save and then click Close.
