Using Safebox

Once Safebox has been set up within your system, it can be utilised in the methods listed below.

Sending Documents from a Matter

To Share a single document using DPS Safebox, follow the steps below:

  1. Enter the file history of a matter and find the document you would like to send out to a client. Right Click on that item within the file history.

  2. Click Share.

  3. Under Share using, select Safebox.

  4. If you would like to send it to the client on file, tick the "To" tick box to the right of their details. If you would like to send it to someone else, enter their email address next to undefined, and click the "To" tick box next to their details.

  5. Click OK.

  6. The email presented will include the unique email agent reference so the email will automatically get saved onto the matter file history once sent. What you see in that email is what the client is going to receive, so if you wanted to add any more information it can be done before you send it. Once you are happy just send the email.

  7. When the client receives the email when they click on the link within the email itself it will start to download to whatever device, they have opened it on. As this has only been sent to the recipients chosen, they will be the only people able to download the file from Safebox.

Sending Documents from within Safebox

Within DPS there is also the option to use the Safebox function as a standalone feature to send documents rather than doing from the file history of a matter. This can be done by following the steps below:

  1. Click on File and then click DPS Safebox. This will load up Safebox as a stand-alone tab within your DPS One Office function.

  2. Click and drag an item from my local documents etc. into DPS Safebox. Refresh the page by clicking the Refresh button.

  3. To send a document, select the item and right click on the document icon. Then click Share File...

  4. To find the required recipient from the list, either scroll through the options, search using the magnifying glass icon, or select User Defined and manually add the email address. Once located, tick the tick box for To or CC and click OK.

  5. The email window will be presented for you to review and Send.

  6. When the client receives the email when they click on the link within the email itself it will start to download. As this has only been sent to the recipients chosen, they will be the only people able to download the file from Safebox.
